Replace a page in a PDF without redoing the rest

Swap an old page for a corrected, signed or rescanned one in a few moves: add the new page, drag it into place, delete the old one. Your files stay on your device.

The short answer: add the new page, move it, delete the old one

Organize PDF has no button called Replace. You get the same result in a few moves, as long as your new page is already a PDF (the next section shows how to get one):

  1. Open Organize PDF and choose the PDF that holds the old page. Every page shows as a card.
  2. Press Add pages from more PDFs and choose the file that holds the new page. Its cards appear at the end, in a colour of their own.
  3. Drag the new page so it sits right before the old one. Then press the bin on the old page.
  4. Press Save PDF, then Download.

Two things on each card keep you from deleting the wrong page. The number on the dark handle in the top-left corner is the page's place in the PDF you will save. The label under the picture, like "Page 7", is the page's number in its own file. The new page also has its own colour, shown by a dot beside the label and a bar along the top of the card.

Your original file is never changed. The new PDF is named after the file its first page comes from, with -organized added, like agreement-organized.pdf.

Try it: choose the PDF with the old page, press Add pages from more PDFs and choose the file with the new page. To practise first, press "Try with a sample PDF" and add any other PDF next to it.

First, make sure the new page is a PDF

Organize PDF only takes PDF files. Drop a photo or a Word file on it and you get "Only PDF files work here." So turn the new page into a PDF first. How depends on where it comes from:

  • A corrected Word or Google Docs file. Fix the mistake, then save or download the whole document as a PDF, with your app's Save as PDF or Download as PDF choice. You will use only one page of it.
  • A page you printed, signed and scanned. Most phone scanner apps can save a scan as a PDF. If yours gives you a photo, turn it into a PDF with JPG to PDF.
  • A newer version of a page from another PDF, like an updated certificate or a fresh statement page.
  • A photo or a screenshot. JPG to PDF makes a one-page PDF from it. If the rest of your document is A4, choose A4 there. More on that below.

You need just one page out of a bigger file

  • Add the whole file and delete what you don't need. Fine for a few pages: press the bin on each unwanted card.
  • Take the page out first with Split PDF. Keep Pick pages, click the page or type its number, like 5, and save. You get a one-page file, named like report-page-5.pdf. This is quicker when the file has dozens of pages. The guide's page-number rules explain the typing.

Moving the new page to the right place

New pages always arrive at the end, so yours has to travel. How depends on your device:

  • With a mouse, drag the card from anywhere except its buttons.
  • With a finger, drag it by the dark numbered handle. Touching the rest of the card scrolls the screen as usual.
  • For a long way, hold the card near the top or bottom edge of the window, and the page scrolls along.
  • With a keyboard, press Tab until the card's handle is selected, then use Home, End and the arrow keys. The guide lists them under dragging, undo and the keyboard.

A worked example. Say your PDF has 40 pages, and a one-page file must take the place of page 7. The new page is at place 41. Select its handle and press Home: it jumps to place 1. Now press the Right arrow six times. Each press moves it one place later, and it stops at place 7, right before the old page 7, which is now at place 8. The handle stays selected, so you can count the presses.

Put the new page before the old one, not after. Then the two sit side by side and you can compare them before you delete anything. Either side gives the same result once the old page is gone.

Deleting the old page, and only that one

Look at the card beside your new page. Its label should show the old page's number, like "Page 7", in your original file's colour. Press the bin in its top-right corner. (On a computer, point at the card to see its buttons.)

Read the Save button. It says how many pages the new PDF will have. After a one-for-one swap the number is the same as before, so a 40-page file still says Save PDF with 40 pages. If it says 41, the old page is still there. If it says 39, you removed one too many: press Undo.

Keyboard users, take care. After a delete, the keyboard moves to the next card's bin button, so pressing Enter again removes the next page too. Press Enter once, check the Save button, and stop.

  • Inserting a page? If you only want to add a page, like a missing certificate, skip the delete. It simply joins the others.
  • One page becomes three? Put the three in a row where the old page was, and delete the old one.
  • Three become one? Put the new page in place and delete the three old ones.

Every step can be undone, up to 200 steps, even adding a whole file. Added the wrong PDF? One press of Undo (or Ctrl+Z, Cmd+Z on a Mac) takes all its pages away.

What changes in the file, and what to know

Organize PDF builds a new document from the pages you chose. The pages are copied as they are, with no loss of quality. A few parts of the file behave in ways that matter when you swap a page. The guide has the full list under bookmarks, links, forms and more.

  • Bookmarks and links that led to the old page are removed. The new page doesn't inherit them, and this tool can't make new ones. Bookmarks to your other pages stay.
  • Fillable boxes on the old page go with it. Boxes on the new page are kept. If a box on the new page has the same name as a box still in your document, one of them is renamed, like Name to Name_2, so each keeps its own answer.
  • The title, author and attached files come from the file of the first page. That is normally your original. If the new page ends up in place 1, those details, and the saved file's name, come from its file instead.
  • Custom page numbers and screen-reader tags are left out when pages come from more than one file. Custom page numbers are the i, ii, iii some PDFs show in a reader. After the swap, your reader shows 1, 2, 3 instead. Numbers printed on the pages stay.
  • A digital signature stops being valid. That is a coded seal showing a file hasn't changed since it was signed. A scanned picture of a handwritten signature is different: it is part of the page, and it stays.

A word of care: swapping a page changes the document. If other people signed or approved the original, tell them about the new page, and keep both files.

For a feel for the work: in our tests, a filled-in one-page form put in place of the last page of a 14-page research paper took 0.2 seconds to save. The two files were 1.00 MB together, the new PDF was 953 KB, and the form kept all 8 of its answers. We ran it in Chromium 141, the browser Chrome is built on, on a Linux computer.

Making the new page match the rest

A swapped page can look out of place even when it is in the right place.

Page size

Each page keeps its own size, so a page photographed on a phone may not have the same shape as the A4 pages around it. It may look wider or narrower than its neighbours. Two fixes:

  • Before you add it, if the page comes from a photo, choose A4 in JPG to PDF's page size options. The default, Same as picture, gives each page the shape of its picture.
  • After you save, put the new PDF through Resize PDF's Page size option. It gives every page the same paper size, scaling each to fit and centring it. If the shapes differ, white margins appear on two sides, so nothing is cut off or stretched.

Direction

If the new page is sideways or upside down, press the turn button on its card. Each press turns it a quarter turn to the right, so press twice for upside down. Turning doesn't redraw the page, so text stays sharp.

Sharpness and size

The new page goes in exactly as it is, so it looks as good as your scan or photo, and no better. For an important page, retake it in soft light with the camera straight above the paper; the phone photos section has tips. The old page's pictures and fonts are left out unless another page uses them, and the new page brings its own. So a large scanned or photographed page can make the file bigger. If it is now too big for a portal or an email, use our PDF compressor, or Resize PDF for an exact limit like 200 KB.

Page numbers printed on the pages

Organize PDF can't edit text or change page numbers. If your pages say "Page 7 of 40" at the bottom, fix the new page's number in its source document before it becomes a PDF. If your pages have no numbers and you want them, add them last, after the swap, with Add Page Numbers.

Long files, and doing it on a phone

On a phone the steps are the same, in Chrome on Android or Safari on iPhone. We tested in Chromium at phone screen sizes. Safari on a real iPhone wasn't part of our tests, but the tool uses standard browser features and should work the same.

  • Save both files first so you can find them: the PDF with the old page and the PDF with the new one. On Android they usually sit in Downloads, and on iPhone in the Files app.
  • Drag by the handle. Anywhere else on the card, a finger scrolls the page. A phone's on-screen keyboard usually has no Home or arrow keys, so you move the card by dragging.

If the old page is deep inside a long document, the drag from the end can be long. Another route avoids it. Open Split PDF, choose By range and type the parts around the old page: for a 40-page file with the old page at 7, type 1-6, 8-40. You get two PDFs in a ZIP file (the guide explains how to open it). Then open Merge PDF and join the first part, the file with the new page and the second part, in that order. Under Bookmarks, choose Keep theirs, so it doesn't add a bookmark named after each part (the bookmark choices are explained in its guide).

The catch: each part keeps only the links and bookmarks that point at its own pages, so those that jump from one part to the other are lost. For a document with a clickable contents page, drag in Organize PDF instead. We set no limit on file size, but your device's memory is one, and phones have less. If the page says the files are too big for the browser's memory, close other tabs or use a computer.

Checking the result, and fixing slips

Before you send the file, check it:

  • Open the new -organized file, not your original, and scroll through every page. In our PDF Viewer, the side panel shows a small picture of every page, so you can scroll down the list and check the order.
  • Zoom in on the new page and read the names, dates, numbers and stamps.

And when something is off:

  • I deleted the wrong page. Press Undo, and it comes back in its place.
  • I can't find the new page. Scroll to the end of the cards. It has its own colour, and its label shows its own page number, like "Page 1".
  • The Download button went away. Something changed after you saved. Press Save again, and download before you change anything else.
  • The new file still shows the old page. You probably opened the original. The new one ends in -organized.
  • A card says "Locked with a password." That PDF can't be used until it is unlocked (see locked and signed PDFs). If you know the password, Unlock PDF makes a copy that opens freely. Remove the locked card with its X button and add the copy.
  • A card says "No preview." That page's picture couldn't be drawn. The card keeps its place and the page goes into the new PDF, so check it in the saved file.

Other ways to replace a page

  • Change the original document and export again. If you still have the Word or Google Docs file and the fix is a few words, this is the cleanest way. Organize PDF can't change the text on a page, so it is the right choice for text corrections.
  • Preview on a Mac shows page pictures in a side panel. You can drag a page in from another PDF, delete the old one and save. A good choice if you are already on a Mac.
  • Adobe Acrobat has page tools for inserting and replacing pages. Fine if you already use it.
  • Online tools that upload your file work too, but your document goes to their server first, which matters for contracts, statements and ID copies. Free plans of upload-based tools often cap the file size or the number of tasks.

Questions people ask next

Can I insert a page without removing one?

Yes. Add the file, move the new page where you want it, and delete nothing. The Save button shows the new total.

Can I add a blank page?

Not with this tool: it has no button for a blank page. Make one elsewhere instead. In Word or Google Docs, start a new document, leave its one page empty and save or download it as a PDF. Then add that file here and move its page into place.

Can I fix a typo on a page?

Not in this tool: it copies pages as they are and doesn't edit text. Fix the typo in the original document, save it as a PDF again and swap that page in.

Can I use a password-locked or signed PDF?

A PDF that needs a password to open can't be used until it is unlocked. A signed PDF can be used, but the new copy no longer carries a valid signature. A PDF that opens freely but blocks editing also works, and the new PDF opens without those limits.
